BOOKING & PAYMENT

  • -check for availability for your event date (booking early ensures we can reserve the color/style you prefer)

    -once your order is placed, your chosen VoiceBook phone is reserved for your event and your card is charged for the full amount

    -you will receive confirmation shortly after your transaction is processed

  • The sooner the better.

    Booking ahead of time ensures we can reserve the color/style you’d like and for the date of your event.

  • As soon as you place your order, your card is processed for the full amount at the time of the booking.

  • Things happen and we understand.

    If you cancel before 7 days from the rental date, 75% is refundable.

    If you cancel less than 7 days from the rental date, 50% is refundable.

  • Yes!

    Sometimes a venue falls through or life in general happens.

    Simply contact us and we will change the date of your booking.

    Don’t know the new date?

    That’s ok too, we will hold your booking and you can jst let us know when you have a new dat

AUDIO GUESTBOOK SETUP

  • Definitely!

    The VoiceBook phone is a self-contained phone with no telephone line, cell connection, internet or wifi requirements.

    The only thing you need to do is plug it into the included power bank that will last 12+ hours, or into a wall outlet.

    It’s really that easy!

  • We suggest you set the phone up in a prominent place where your guests will gather, but away from speakers, dance floors, or bars.

    Avoid setting it up in foyers and hallways. Guests tend to not leave messages on the way in or out of the event.

    You want the maximize the amount of messages you get so setting it up in highly visible areas within your event space, helps with that.

  • We suggest that you set up the audio guestbook at least an hour before your event starts.

    This way, if you have any issues with the setup, you can simply contact us and we can help you.

    Also, you can scan the QR code included on the box and also in the information packet to help with the set-up.

  • Yes! Moving your VoiceBook audio guestbook to a new location does not affect the messages already recorded on the audio guestbook.

    As long as the audio guestbook is plugged into the wall outlet or power bank charger, it is able to record messages.

    Most customers use the audio guestbook for multiple event activities.

    EX: rehearsal dinner, cocktail hour, reception, next day brunch, etc…

  • To get the most possible messages, we include a card to give to your dj, band, or designated emcee to let guests know that the phone is there to help capture memories, just like you would with a traditional guestbook.

    With our full setup, you get a 12” neon “leave a message” sign and a custom 8x10 sign in an acrylic frame. These items bring attention to your guests to come over and leave a message or two!

USING THE AUDIO GUESTBOOK

  • It’s a piece of cake!

    At your event, your guests will:

    -pick up the receiver and hear your pre-recorded greeting (we upload it on the phone prior to shipping)

    -after the beep, they will simply talk into the receiver and leave you their message and hang up

    -your guests’ messages are safely recorded within the phone

    With the full setup, we include a 12” neon “leave a message” sign and customized 8x10 sign in an acrylic frame.

    The customized sign includes instructions and ideas of what kinds of things guests can say during their message.

  • Most definitely!

    You have unlimited space for guests to leave as long of a message they want and unlimited space for messages.

PACKING UP THE AUDIO GUESTBOOK

  • We include video packing instructions that you can access via the qr code printed on the outside of the shipping box as well as in the printed instructions in the clear plastic sleeve.

    We have also included photo instructions printed on stickers on the inside of the box.

  • You will find the return shipping label on the inside of the box in clear sleeve (double sided tape secures it to the inside flap)

    Simply tape the clear sleeve containing the return label off the box and affix it over the old shipping label.

RECEIVING MY AUDIO GUESTBOOK MESSAGES

  • VoiceBook of Texas will convert all of your messages into an edited and enhanced mp4 file using your provided photo as the cover photo to display as your messages play.

    Once this mp4 file is ready, we will email a downloadable and shareable link to your provided email within 2-5 business days.

    Please make sure you provide an email you check regularly.

  • Once we receive the VoiceBook of Texas audio guestbook back, we will work on editing and enhancing your mp4 file and send a downloadable and shareable link to you via email within 2-5 business days.

  • We encourage you to download the link within 7 days of receiving it. After 7 days the link will expire.

    This link can be downloaded to any device.

    We do however, save all of the message files, so if for some reason you don’t download it within 7 days, please contact us and we can send you a new link.

SHIPPING DETAILS

  • We ship our audio guestbooks via UPS.

    We use a third party to print our shipping labels, so you will receive an email from Rollo once your audio guestbook has shipped.

  • Email us and let us know the date you’ll need the phone. Most of the time, we can allow rentals more than 4 days considering your special circumstances.

  • If you contact us after booking, we can gather information from you about your venue and the contact person at the venue to ensure the VoiceBook audio guestbook goes to the right person once it is delivered. We want to make sure it doesn’t go missing at the venue, so we ask for your contact person that will be in charge of the audio guestbook.

    Enter those details when booking your audio guestbook.

  • We are currently shipping to ALL 50 states including Puerto Rico!

    For events in Alaska, Hawai’i, and Puerto Rico, there will be a $95 extra shipping charge added to the final rental payment 4 weeks prior to your shipping date.

    We will email you with a reminder of this final payment.

  • When booking choose 1 day prior to your event date, the ship back date will automatically be set.

    We will ship to ensure you get your audio guestbook 1-2 days before your event date.

  • You will ship back your audio guestbook 1 business day after your event.

    We include a sticker on the inside of the box, with the ship back date printed.

  • Yes.

    You will be supplied with a return shipping label that you can ship back anytime within your 4 day rental.

  • We charge $100 per day past your rental duration using the card used at checkout until the phone is returned to us.

    We suggest having a designated person who will be in charge of packing up and dropping the phone off at a local UPS Store.

  • Not at all.

    We include the return label in the cost of renting the audio guestbook.

    The return abel is located on the inside flap of the shipping box.

  • Once you have packed up the audio guestbook following or easy instructions, you will simply affix the new return label over the old label.

    Then, drop it off at any UPS Store.

    The UPS Store employees will tape up the box for you and get it shipped for you.

DAMAGE TO THE AUDIO GUESTBOOK

  • We reserve the right to charge a fee of up to $2000 for any VoiceBook phone, battery pack, and other included electronics that is stolen, lost, damaged, destroyed or altered in any way, other than normal wear and tear. Normal wear and tear includes minor scratches and marks or other similar minor damage.

    We ask that you treat the phone like any item you would borrow from a friend. With that in mind, you are responsible for any VoiceBook phone that is stolen, lost, damaged, destroyed or altered in any way, other than normal wear and tear.

    VoiceBook phones are meant for indoor use only and should not be operated near water or any similar fluid.

    Please watch the set-up video by scanning the QR code on the box and also in the set-up packet inside the box.

    Be sure to pack up the audio guestbook according to our instructions to avoid any damage while shipping back to us.

  • Unfortunately, sometimes UPS isn’t always as careful with our boxes as we would they would be.

    If you notice something is damaged when you open your box, let us know immediately.

    In most cases, we can overnight you a new audio guestbook to arrive in time for your event.

  • Yes.

    Customers are responsible for all items that come in the box. Stickers on the inside of the box will list the cost of each item that is lost or damaged upon return.

    Customers will be charged for these items if they are lost or damaged.

    We will contact you after receiving the box back about missing items, so you can look for these items and ship back to us. (shipping these items back will be the customer’s responsibility)

THE AUDIO GUESTBOOK ISN’T WORKING

  • We suggest you test your audio guestbook the same day you get it.

    If you notice it is not ringing and playing your greeting, contact us immediately.

    Sometimes during shipping and rough UPS handling, a wire can come loose.

    If you contact us immediately, we can walk you through the process of reattaching the wire.

    If while walking you through the process, it doesn’t correct the issue, we will overnight you a new audio guestbook.

THE RECORD, CD/CD PLAYER, & FLASH DRIVES

  • Once we finish your message file, we will email you the message link and the instructions for getting us what we need in order to design a mock-up for the front and back covers of your record.

    We will need at least 4 photos to use for the front and back covers of he record jacket and the center stickers for the record.

    We will send you record inspiration designs for you to choose from or if you have your own ideas for how you want the record to look, you can send us your inspiration.

  • Once we receive the design elements we need to design your record, it takes approximately 1 week to get a mock-up emailed to you for your approval.

    We work closely with you to get the design perfect!

    Once you approve the design, we will start the process of pressing the record and printing the record jacket.

    This process can take anywhere between 8-10 weeks.

    Once we have everything ready to ship to you, we will text you the tracking number.

  • Once we finish your message file, we will email you the message link and the instructions for getting us what we need in order to design a mock-up for the front cover of your CD.

  • Totally!

    When you order a CD, you get the mini CD player as well!

    We will ship you the custom CD and CD player within 5 days of sending you your message link.

  • Once we finish your message file, we will email you the message link and the instructions for getting us what we need in order to design the front cover of your mixtape case cover.

  • When you order a flash drive, we will upload your final video file of messages, along with each individual message, photos you send us, and the greeting.

    We will ship you the flash drive within 5 days of sending you the message file link.
